At FIDATO HOTELS PRIVATE LIMITED, we understand that travel plans may change. This Cancellation & Refund Policy outlines the terms governing cancellations, modifications, and refunds for hotel reservations, event bookings, and related services made through our website, reservation team, or authorized booking channels.

1. Hotel Reservation Cancellations

Flexible Bookings

Reservations made under flexible rates may be cancelled without penalty if cancellation is requested at least 48 hours prior to the scheduled check-in date and time.

Eligible refunds will be processed to the original payment method.

Standard Bookings

For cancellations made less than 48 hours before check-in:

  • The first night’s stay may be charged as a cancellation fee.

  • Remaining amounts, if applicable, may be refunded according to the property’s specific cancellation terms.

Non-Refundable Rates

Bookings marked as Non-Refundable, Advance Purchase, Special Promotional Rates, or similar discounted offers:

  • Cannot be cancelled without penalty.

  • Are not eligible for refunds.

  • Cannot be modified unless expressly stated during booking.

2. No-Show Policy

A reservation will be considered a No-Show if the guest fails to check in on the scheduled arrival date without prior notice.

In such cases:

  • The reservation may be cancelled automatically.

  • Refunds may not be issued.

  • Applicable charges may be retained by Fidato Hotels.

3. Booking Modifications

Requests to modify:

  • Check-in or check-out dates

  • Room category

  • Number of guests

  • Property location

are subject to:

  • Availability

  • Applicable rate differences

  • Property-specific policies

Approval of modifications is not guaranteed.

4. Early Departure

If a guest chooses to depart before the confirmed check-out date:

  • Refunds for unused nights are not guaranteed.

  • Charges may apply according to the property’s booking conditions.

5. Group Reservations

Reservations involving multiple rooms, corporate bookings, travel groups, or special group rates may be subject to separate cancellation terms.

Guests should refer to the specific agreement or quotation provided at the time of booking.

6. Event, Wedding & Conference Bookings

Bookings for weddings, conferences, meetings, banquets, social events, and related services may require advance deposits.

Unless otherwise stated in the event agreement:

  • Deposits are non-refundable.

  • Cancellation charges may vary depending on the event date and preparation status.

  • Third-party vendor costs already incurred may remain payable.

Separate event contracts will supersede this policy where applicable.

7. Refund Processing

Where a refund is approved:

  • Refunds will be issued to the original payment method used during booking.

  • Processing times generally range between 7–14 business days.

  • Banking institutions and payment providers may require additional processing time.

Fidato Hotels is not responsible for delays caused by banks, payment gateways, or financial institutions.

8. Third-Party Booking Platforms

If your reservation was made through:

  • Online Travel Agencies (OTAs)

  • Travel agents

  • Corporate travel providers

  • Third-party booking websites

the cancellation and refund terms of the respective provider may apply.

Guests should contact the original booking source directly for modifications, cancellations, or refund requests.

9. Force Majeure

Fidato Hotels shall not be liable for cancellations, interruptions, or inability to provide services resulting from circumstances beyond reasonable control, including but not limited to:

  • Natural disasters

  • Government restrictions

  • Pandemics or public health emergencies

  • Civil unrest

  • Transportation disruptions

  • Utility failures

Refunds in such circumstances will be handled in accordance with applicable laws and property-specific policies.
